Tracking Non-Sales Consumption

How to account for consumption that is not linked to sales

1/ Understanding what non-sales consumption is

Non-sales consumption allows you to track all ingredients and consumables used in the restaurant, even when they are not linked to a recipe or a sold product.

This includes, for example:

  • hygiene and cleaning products

  • ingredients used outside of recipes (flour for work surfaces, oil for greasing, etc.)

  • packaging not linked to a specific product

  • any other consumables used on a daily basis

💡 These consumptions are now taken into account in your costs, stock levels, and order recommendations.


2/ Who this feature is for

The Non-sales consumption feature is available to all customers with the Scale plan.


3/ Why set up non-sales consumption

Without this setup:

  • some consumptions were not taken into account

  • theoretical stock levels were less reliable

  • order recommendations could be underestimated

With non-sales consumption, you benefit from:

  • a complete view of your food costs

  • more accurate order recommendations

  • stock analyses closer to reality

  • flexible setup at network or restaurant level


4/ Choosing the right consumption mode

There are two consumption modes, depending on the type of product.


Mode 1: Daily consumption

This mode is suited to products consumed every opening day, regardless of activity level.

How it works:

  • the defined quantity is automatically deducted each opening day

Example
You set 2 units of cleaning product per day.
If the restaurant is open 6 days a week, 12 units will be deducted.


Mode 2: Consumption per €1,000 of net revenue

This mode is suited to products whose consumption depends on activity.

How it works:

  • the quantity is deducted proportionally to the net revenue achieved

Example
You set 1 kg of flour per €1,000 in net revenue.
If the restaurant generates €2,500 net, 2.5 kg will be deducted.


5/ Link with sales-related consumption

Non-sales consumption is added to sales-related consumption (coming from recipes).

Both types of consumption:

  • coexist

  • are distinguished in analyses

  • are fully taken into account in stock levels and recommendations


6/ Setting up non-sales consumption at ingredient level

This setup defines a common rule for multiple restaurants.

Access
Administration >> Ingredients >> Safety stock and consumption mode tab

💡 Only restaurants with at least one supplier linked to the ingredient are displayed.

Setup

  1. Click Actions

  2. Select Manage consumption

  3. Enter:

    • the groups or restaurants concerned

    • the consumption mode

    • the consumed quantity

  4. Confirm

The configuration is automatically applied to the selected restaurants.


7/ Setting up non-sales consumption for a restaurant

This setup allows you to adjust consumption for a specific restaurant.

Access
Administration >> Locations >> select the restaurant >> Linked ingredients tab

💡 Only ingredients with at least one linked supplier are displayed.

Setup
You can configure:

  • a single ingredient

  • or multiple ingredients at once

  1. Select one or more ingredients

  2. Click Actions or

  3. Choose Manage consumption

  4. Enter the mode and quantity

  5. Confirm

💡 When selecting multiple ingredients, the same value can be applied even if units differ.


8/ Bulk editing consumption via a file

To save time in a multi-site network, you can use the bulk edit file.

Download the file

  1. Go to Administration > Ingredients

  2. Click Actions, then Download bulk edit file

The file includes a dedicated tab for non-sales consumption, with:

  • ingredients

  • their units

  • a frequency and quantity column per restaurant

Import the file

  1. Complete the file

  2. Import it into the platform

  3. The system runs automatic checks

  4. Valid rows are imported

  5. A confirmation message indicates that changes have been applied

⚠️ New values overwrite existing ones.
Make sure to check data consistency before importing.


9/ Impact on order recommendations

Non-sales consumption is automatically included in recommendations.

For revenue-based consumption

The system uses:

  • first, the forecast entered by the manager

  • otherwise, the automatic Inpulse forecast

Example
Net revenue forecast = €10,000
Consumption = 2 units / €1,000
Current stock = 0
→ Recommendation = 20 units


For daily consumption

The system takes into account:

  • the number of opening days over the selected period

Example
Period = 7 days
Restaurant closed 1 day
Consumption = 2 units / day
→ Recommendation = 12 units

💡 Safety stock is also taken into account.


10/ Impact on analyses

Non-sales consumption is visible in all key analyses.

Past and forecasted stock

In the detail of a given date, the Consumption line is split into:

  • sales-related consumption

  • non-sales consumption


Food cost by category and by restaurant

A Non-sales consumption filter is available.

  • Enabled by default: sales + non-sales consumption

  • Disabled: only theoretical sales-related consumption

💡 Useful for analyzing commercial performance without fixed costs.


Consumption by ingredient

A Non-sales consumption line appears for each opening day, showing:

  • the consumption mode

  • the consumed volume

  • the total deducted amount

This data is also available for export.
