Managing minimum order weight (kg)

How to comply with supplier constraints when placing orders ?

1/ Understanding supplier minimum order requirements

Some suppliers impose ordering constraints for logistical reasons.

The most common ones are:

  • a minimum order value (minimum amount)

  • a minimum order by case

  • a minimum order by weight (kg)

💡 In Inpulse, these constraints are grouped under the concept of Minimum order.


2/ Purpose of the minimum order weight

The minimum order weight allows you to:

  • comply with supplier logistical constraints

  • avoid rejected or blocked orders

  • ensure reliable order submission

⚠️ If the minimum order weight (kg) is not reached, the order cannot be sent.


3/ Setting up the minimum order on the supplier side

The setup is done directly in the supplier profile.

Access:
Administration >> Suppliers >> select a supplier

Setup
In the supplier record, fill in the field:
Minimum order (kg)

💡 This field defines the minimum total weight the order must reach before it can be sent.


4/ Entering the weight of supplier ingredients

To ensure the minimum order weight is calculated correctly, the weight of supplier ingredients must be entered.

Access:
Administration >> Supplier Ingredients


Where to enter the weight

A new Weight (kg) field is available in packaging management.

How it works:

  • the weight can only be edited on the ordering packaging

  • other packagings are calculated automatically

  • default value = 0 kg

💡 This ensures consistency if the ordering packaging is modified.


5/ Bulk imports and mass updates

The ordering packaging and weight (kg) are also available in:

  • bulk creation files

  • bulk update files for supplier ingredients

👉 Ideal for quickly setting up multiple ingredients.


6/ Viewing the minimum order during order creation

When creating a supplier order:

  • a new section appears in the order header

  • the minimum order weight (kg) is displayed if defined by the supplier

💡 This lets you immediately know whether your order meets the requirement.


7/ Tracking order weight

The total order weight is displayed:

  • in the order summary

  • in the order PDF

  • by sub-category and as a total

⚠️ Weight is not displayed in Excel exports.


8/ Sending the order

Before sending:

  • Inpulse automatically checks whether the minimum order weight is met

If the minimum is met:

  • the order can be sent normally

If the minimum is not met:

  • the send button is disabled

  • the order cannot be sent to the supplier
